In the 'EDIT' – 'Settings' – 'Activity/quotas' tab, you have the option of setting the duration of the survey, i.e. how long the survey is active and open to the respondents.
Survey Activity
- Set start time: When you select the option 'Set start time', you can choose the date when the survey should start by clicking on the calendar icon. This means that the survey will become active and accessible to respondents from the selected date onwards.
- Set end time: By clicking on the second calendar icon next to the option 'Set end time', you can choose the date when the survey should end or close for responses. After this date, the survey will no longer be accessible to respondents for completion.
- Permanent survey: You can also select the option to make the survey permanent. Under the option 'To:', choose 'Moment of manual deactivation (permanent survey)'. In this case, the survey will remain active for responses until you manually deactivate it. This is useful for surveys that you want to keep open for a longer period without a predetermined end date.
Example of use: For example, if you want the survey to be active from December 1st 2024, to December 15th 2024, you will select December 1st 2024, as the start date in the first calendar and December 15th 2024, as the end date in the second calendar. If you want the survey to be permanent, simply select the option for a permanent survey, and the survey will remain active until you manually deactivate it.
Quotas (Limit number of responses)
Users of the 3KA package for individuals as well as users of the business packages for groups can also set a quota (limit the number of responses) and enter the maximum number of responses in the input field. You can set a quota for all responses (including clicks on the introduction (status 3), clicks on the survey (status 4)) or only for the relevant units (partially completed surveys (status 5) and completed surveys (status 6)). Explanations of the different unit statuses can be found in the manual Status of units, relevance, validity and missing values.
When as many respondents as you have specified have answered the survey, the survey will be deactivated and a predefined message will be displayed to respondents: 'Survey reached a maximum response count.'. Clicking on the 'pencil' icon next to the message will open the 'Settings' - 'Standard words' tab, where you can edit the message as you wish. For example, if your survey serves as a sign-up form for a workshop where you will accept a maximum of 40 registrations, you can set the message to be displayed to respondents when the quota is reached. E.g. "Registration for the workshop is closed." or "All places for the workshop are filled".
You can access the data and analyses without restriction, regardless of the survey duration and quota settings. More >>
